The eAYSO Privacy Policy

eAYSO is a Web-based registration and business information system used by the American Youth Soccer Organization (AYSO) and its units, as defined below.AYSO respects your privacy and believes that the best way to serve you on the Internet is with honesty, accountability and adherence to applicable legal standards. Because we gather and store certain types of information about AYSO applicants and official members, we feel you should fully understand the terms and conditions surrounding the capture and use of that information. We are sensitive to the issue of privacy and have structured our online activities to tightly control access to your personal identifying information. This privacy policy discloses what information we store in eAYSO and how we use it.

Legal Status of AYSO

AYSO is a California nonprofit corporation that is tax exempt under section 501(c)(3) of the United States Internal Revenue Code of 1986, as amended. More information about AYSO is available from our main Web site at www.soccer.org.

AYSO operates soccer programs primarily through individual local units known as “regions”. Regions are in turn grouped into areas and sections.The regions, areas and sections are all unincorporated units of AYSO. When we refer to the region or to "regional" in this privacy statement, we refer to the local unit; when we refer to an AYSO unit, we refer to a region, an area or a section; when we refer to AYSO, we refer to the national organization to which everyone belongs.

AYSO units have significant autonomy but they are governed by a variety of rules, regulations and policies established at the national level. AYSO is the sole owner of the information collected and/or stored on this site.

Capture of Information

Registration

We collect detailed personal information concerning all registered players and volunteers.This information may be provided to us directly by you or it may be submitted to us by a region or other AYSO unit.The information is then stored in databases on our system.Except with the personal approval of our Executive Director, we will not accept a registration that is conditioned on required information not being stored in AYSO systems.

You currently are not required to register or log on in order to use the public (unrestricted) portion of this website, which at present can be used to complete annual membership applications for players and volunteers and to sign up for certain meetings or events.However, you may be asked to get a user name and password. In addition, a user name and password is required for all AYSO staff and volunteers who have been granted access to any of the restricted portion of the site (“authorized users”).

The purpose of these unique identifiers is to verify identity before allowing access to information once it has been stored on our site. In the case of a parent or volunteer, a user name and password is required to access his/her own information in a subsequent session on eAYSO.The user name and password also permits us to establish the level of access and type of data to which an authorized user is entitled by virtue of his/her role or function in AYSO or in any AYSO unit.

Financial Information

We collect financial information when we bill you for registration fees or event fees that you specifically request.

Cookies

"Cookies" are small pieces of information that are set by our system and stored on your computer's hard drive. Our cookies do not contain any personal identifying information.After you've entered your user name during a session on eAYSO, our cookie saves that information so you don't have to re-enter it repeatedly during that session. Once you close your web browser, the cookie simply terminates.The default setting on most Web browsers is to permit cookies of this kind to be set automatically, but it is possible to change the default setting on your browser to prevent that. If you have set your browser so it will not accept cookies, you will just have to enter your user name each time you visit the site, otherwise, the site will function normally for you.

Privacy of Children

AYSO encourages parents and guardians to be aware of and participate in their children's online activities. AYSO strictly adheres to the Children's Online Privacy Protection Act and will not knowingly register or otherwise collect personal identifying information from any child under the age of 13 without the prior verifiable consent of that child’s parent or guardian.

Use of Information

All of the information we collect is used for the purposes of enabling AYSO and its units to administer our program, including but not limited to, registering players and volunteers, forming teams, training players and volunteers, setting up and running programs and events, such as games, tournaments, meetings and clinics, and keeping staff members, parents, volunteers and other interest persons informed about matters of concern to them in relation to AYSO and its programs.

Access within AYSO and its units to information stored on eAYSO is generally limited according to privileges that are appropriate to the user.For example, parents who enter information about a child will be able to access that information if they have supplied us with a user name and password; regional administrators may be able to access information for players and volunteers registered in their region but not in any other region.

It is AYSO's policy not to release any personally identifying information about you without your consent (usually obtained through an "opt-out" option that you may select when providing the information). We may use contact information that you provide to send you information about AYSO and promotional material from some of our partners. AYSO will disclose personal information about an individual user if we believe in good faith that such disclosure is necessary to comply with an applicable law or valid legal process.In addition, information may be released only on an aggregated basis (meaning that the information from many AYSO users is grouped together in a way that does not disclose the personal information of any particular user).

We also collect credit card and other information required by our bank or our credit card processor to enable us to process payments of fees to us for player registration and fees and other charges related to events, as well as to process refunds.

Special Note for Users Who Register with AYSO Through Another Web Site

Some regions have their own site or have partnered with other registration web sites for purposes of collecting information from users of those sites.Later, either the other registration service or the region provides AYSO with your information either in the form of hard copy print outs or electronically or via e-mail.We require each AYSO unit that operates a site that collects personal information to disclose their privacy and data collection policies and practices, and we are developing guidelines for such policies and practicesWe strongly urge you to review such policies and practices and to let us know If you feel they are not as strict as the policies set out in this privacy statement.

Security

AYSO has policies and procedures in place to protect the privacy and confidentiality of your information.Access to the information is strictly controlled and limited only to AYSO trained and certified staff and volunteers who have a legitimate need to see it based on their position and their need to efficiently run their local program. All personal identifying information, including but not limited to Social Security numbers and Driver License numbers, are encrypted in AYSO's secure database which is located behind a firewall, and all personal identifying information is transmitted via 128-bit Secure Socket Layer (SSL) technology. The SSN and DL # are obscured from view on all screens and printouts except for four people at the AYSO national office responsible for background screening of volunteers. You can help to protect your information by safeguarding your AYSO password, and never allowing anyone else to use your user name and password to access the site. Any unauthorized use of the site may result in criminal and/or civil prosecution.

Anti-Spam Filters

From time to time, AYSO, and many of its regional administrators, may use e-mail as a means of communicating with its members.If you use anti-spam software on your e-mail account, please add the soccer.org domain to your recognized users group.Check with your region to determine its domain name and add it as well.AYSO and its units do not have the resources to respond to challenge messages. If you do not do this, you will not receive any e-mail messages from AYSO, including any confirmations of registrations and payments or important notices of interest to all members.

Policy Changes

We may change this Privacy Policy from time to time and will post the changes to this site. Your continued use of the site indicates your agreement to the revised terms. Accordingly, we urge you to frequently review this Privacy Policy, and, if you do not agree to the terms of this or any revised policy, please exit the site immediately.
